The Department

Wagering Products (WP) Division is responsible for driving the wagering business results for the Club through the wagering products of local horse racing, simulcast international horse racing, football wagering, wagering operations, analytics and product development with the aim of driving wagering turnover growth and revenue in a socially responsible manner.

The Commingling Department under Wagering Products Division plays an essential role in the development of Hong Kong as a world class racing jurisdiction and in disseminating Hong Kong racing betting product to a global audience. Through cooperations with overseas racing betting operators and media, this team cultivates and develops business opportunities for incoming, outgoing simulcast and the commingling business including World Pool. This team is responsible for the conduct of business and strategic analysis, contract negotiation and maintenance as well as marketing activities in relation to commingling matters abroad.

The job holder reports to Head of Commingling and is responsible for providing secretarial and other admin support to the department

The Job

You will:

To provide secretarial support to the Head of Commingling and a full range of administrative support to the department, and liaise with external & internal stakeholders.
To organise in-person and virtual business meetings, as well as travelling schedules and bookings for assigned Executives and team members; to co-ordinate enquiries and correspondence.
To assist in preparing meeting materials such as meeting papers, agendas, presentations, minutes, and other documentations such as committee papers and reports, ensure all formats and submission should be aligned with WP Division standards and deadlines respectively.
To help plan and coordinate the itineraries of visiting partners / guests including any site visits, tours, and other hospitality such as HKIR week.
To offer support on simulcast administration including invoice handling, DMA, assisting with the collection of feedback from internal stakeholders and onboarding new partners.
To manage the filing system and record maintenance for the department and to assist in consolidating information, documents and files for assigned Executives' review and approval.
To act as a primary contact for on boarding preparations of the department, and as an interface with HR for all required actions for the department.
To ensure compliance with Responsible Gambling Policy and all stipulated legal requirements pertaining to wagering, thereby protecting the integrity of the Club’s businesses.
To undertake other duties as assigned by Line Manager.

About You

You should have:

Higher Diploma in Business Administration, Secretarial Studies or related disciplines
Experiences in secretarial / administration gained in sizable organizations
Excellent written and verbal communication skills in both Cantonese and English
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
Strong organizational and time-management skills
Ability to multitask and prioritize tasks effectively
High level of professionalism and attention to detail
Discretion and confidentiality in handling sensitive information
Strong interpersonal skills and the ability to work well with diverse teams
Ability to work under pressure, flexibly and independently with high accuracy
