Our client, an international commercial law firm, is seeking an Accounts Assistant for their Hong Kong office. This role will be responsible for supporting accounts payable and accounts receivable functions, along with assisting the Finance Manager and Accountant in various departmental activities.
Duties and Responsibilities
Accounts Payable:
Oversee the processing of supplier invoices, disbursements, and staff claims. This will include verifying authorizations, receipts, and ensuring accurate coding and narratives within the system and payment made.
Manage the expense and invoice queue within the system, monitoring for outstanding approvals.
Monitor cash advances and conduct reconciliations.
Receipts:
Issue receipts as applicable and update the system accordingly.
Track unpaid third-party invoices and enter transactions into the accounting system.
General Accounting:
Assist in the preparation of month-end closing activities, including account reconciliations and the preparation of accounting schedules.
Contribute to the enhancement of financial systems, policies, and procedures.
Support year-end audit processes.
Working Capital Management/Credit Control:
Process client invoices within the system.
Issue reminders and make follow-up calls to clients to ensure timely payment of invoices.
Additional Duties:
Provide coverage and support to team members across all accounting functions.
Perform administrative tasks for the team, including filing and other related activities.
Participate in various ad hoc assignments within accounting and finance.
Qualifications and Skills
Diploma in Accounting or a related field; higher qualifications are preferred.
A minimum of 2-3 years of relevant experience in accounting.
Proficient in accounting and expense management software.
Strong proficiency in Microsoft Office Suite, including Outlook, Word, and Excel.
Excellent numerical skills with a keen attention to detail.
Effective communication skills with the ability to engage confidently with all stakeholders.
Proficient in both written and spoken English and Chinese.
Demonstrates independence, organization, and a proactive approach to work.
