Position Responsibilities:
- This role will act as an adviser/consultant for HR business partners, leaders, stakeholders, and employees.
- The role will cover all aspects of global mobility.
- You will manage end-to-end mobility processes including but not limited to immigration (ex. employee permits), costs and taxation, compliance, relocation strategies, and employee assessments.
- Day to Day operations of the Global Mobility Program
- Consult with employees, their leaders, recruiters and HR Partners on all aspects of the mobility program including costs, policy interpretation, relocation coordination, general tax and immigration considerations.
- Provide comprehensive relocation and assignment cost projections.
- Prepare offer letter language for relocating candidates and employees.
- Draft and maintain agreements and extension letters for expatriate assignments.
- Initiate approved services with external vendors and provide case management oversight of all assigned permanent relocations and expatriate assignments for candidates and employees.
- Deliver orientation calls to transferees/assignees to review the entire mobility process relating to the employee’s transfer/assignment.
- Monitor necessary Workday transactions for transferees and assignees.
- Coordinate distribution of assignment notifications once assignment agreements or relocations have been confirmed.
- Prepare balance sheet and allowance updates.
- Act as a primary contact for relocation, tax and immigration service providers on a daily basis.
- Manage exceptions and escalation requests and ensure resolution.
- Provide ongoing assignment/relocation support.
- Provide repatriation support to assignee/transferee.
- Year-end activities
- Participate in the Annual Compensation Cycle as the Global Mobility SME and lead the year-end process with company preferred tax provider for the incentive plans and any additional special awards
- Manage the employee list and liaise with preferred tax provider and the Staff/Executive Compensation team to manage and distribute payment details accordingly.
- Oversee the year-end tax gross-up exercise.
- Lead international compensation collection.
- Work with tax provide on managing the yearly tax authorization list.
- Lead and support team in gathering compensation data from international payrolls.
- Provide Guidance on and support on off-cycle equity payments (i.e., stock option exercises, deferred share unit payments, RSU &PSU payments, etc.)
- Engage with Vendors supporting the Relocation program
- Participate in monthly status meetings.
- Liaise with vendors on assignee/transferee files.
- Identify issues and areas for improvement.
- Manage escalation and exception processes to ensure a resolution is sought out.
- Participate in vendor RFPs.
Required Qualifications:
- Bachelor's degree in HR, business, or related field.
- Proven experience, 5 plus years, as a global mobility consultant, preferably in a multinational organization.
- Strong understanding of global mobility policies, processes, and programs, including relocation, immigration, tax, and compensation.
- Knowledge of local laws, regulations, and compliance requirements related to global mobility in various countries.
- Experience in managing relationships with external vendors, including relocation providers, immigration law firms, and tax consultants.
- Excellent communication and interpersonal skills, with the ability to work with employees at all levels of the organization and across cultures.
- Strong analytical and problem-solving skills, with attention to detail and ability to interpret complex information.
- Ability to manage multiple assignments, prioritize tasks, and meet deadlines in a fast-paced, global environment.
- Proficient in using HRIS and other HR-related systems, and advanced skills in Microsoft Office, particularly Excel.
- Ability to maintain confidentiality and handle sensitive information with discretion.
