Position : Order Management / Supply Chain Executive (Documentation & Invoicing)

Requirements :
- Degree holder is preferable, Major in Business Administration or related discipline
- At least 2-3 yrs relevant experience in order processing, preferably in a supply chain function
- Gained experience in logistics or freight forwarding companies is preferable
- Relevant experience in handle shipping documents or in similar capacity
- Experience in using Cw1 is an advantage
- Familiar with Microsoft Office e.g. Word & Excel
- Strong interpersonal skills to enable effective cross functional teamwork
- Good spoken & written communication skills
- Self-starter and fast learner who can work independently
- Quick to act, adapt to changes quickly
- Stable, Energetic, Smart, Presentable & Smart
- Fluent spoken & written in English & Mandarin (most important)
- Immediate Available is an advantage
Responsibilities :
- Responsible to ensure timely and accurate submission of documentation to carriers to meet the customer's delivery requirement
- Responsible to tally and ensure full set of accurate documents are ready for the customer to clear cargo at destination
- Ensure timely and accurate cost is captured in the system, so that commercial invoice generated has a cost booked to allow revenue analysis
- Ensure documents are accurate and are ready for customer prior to shipment arrival , thereby allow customer to clear cargo to meet the customer's delivery requirement
- Ensure freight payable comply with the approved freight list
- Comply with the end to end order management process
- Ensure the team bill customer timely for all Purchase / Sales Orders received in the system
- Meet the set KPI related to shipping documents preparation, shipping timelines etc
- Ensure timely submission of documents / shipping instruction to carriers so that shipments can be loaded timely
- Priced all shipment correctly and invoice is retriggered to SAP/JDE for invoicing, hence, billing the customer timely for all purchase/sales orders received in the system
- Order management with remark updated in the system to support cost tracking and hence payment
- Ensure replenished orders is costed correctly in Cw1
- Ensure the team invoice customers on delivery orders from the hub & reconcile invoices against picked orders for the day
- Monitor and capture invoicing errors, thereafter, evaulate and determine impack to customers and hence, share with Customer Service to advise customers on alternatives/solutions
- Ensure all booking has their VGM / Shipping Instruction submitted timely to the carriers so that shipment can be plan and loaded as per booked schedule
- Ensure all shipping instruction is validated and that is tallies with customer's requirement
- Prepare all shipping documents and follow up with suppliers for the relevant shipping documents, thereby tallies and are accurate, thereby meet the customer's requirement
- Monitor and capture documentation deviations, thereafter, evaluate and determine impact to customers and hence, share with Customer Service to advise customers on alternative/ solutions
- Organize and ensure timely filing of documentation in accordance to audit requirement.
- Communicate politely with suppliers and service providers by email, letter, face to face and telephone.
- Liaise and coordinate with internal resources to offer constructive solutions to satisfy/ support the customers’ requirement.
- Communicate closely with internal stakeholders such as Customer Service, Key Account Managers and other key stakeholders, to manage their expectation in alignment to our service agreement with the customers.
- Develop and maintain effective working relationship across functions to meet and / or exceed customers’ requirements
