ROLE & RESPONSIBILITY: The Logistics & Operations Assistant, international, will be responsible for the end-to-end order management (order entry, monthly order maintenance to shift/swap/drop products, shipment management and factory order tracking) in all company systems (SAP, Vision) – both B2B & Ecommerce.
ORDER ENTRY
Review entry files for destination min issues, size grid exceptions, reviewing factory direct ship order, DCs orders and also manually deducting orders;
Order entry and supporting filing in SAP vs. Vision;
SAP vs. Vision Order reconciliation right after entry versus merchandising roll up, catch any errors on the entry and proceed corrections in SAP vs. Vision or communicate with Merch team for next steps if any
Communicate any rejection codes and entry issues to merchandising team in real-time
ORDER MAINTENANCE
Communicate with all the internal parties for the order adjustment in SAP vs. Vision;
Systemically maintain life of the order through monthly channel alignment; add units, drop, swap;
Manage the top-up/blind buy units/ order contracts requests
ORDER CONFIRMATION
Factory Order reconciliation, reviewing incoming FO's to make sure they're receipting in DC on time to make monthly distributor pick-up;
Order confirmation file preparation - send to merch for review (include pick-up month for Factory Direct Ship and DCs orders);
SHIPMENT FOLLOW UP
Daily shipment coordination with internal and external customers;
Documentation preparation to comply with the export and import regulations of the countries.
Freight booking coordination with the freight forwarders and monitoring the shipment until the arrival of destinations.
Prior shipment planning for both internal and external customers to achieve the company’s revenue target.
Reconcile the actual shipped vs. company target
REPORTING
Prepare and reconcile all logistics related reports on a regular basis (daily, weekly, monthly)
ONGOING
Review all the order types in SAP vs. Vision on monthly basis and release required inventory as per the plan from Merch or related team;
Related business analysis reports;
Any ad-hoc tasks assigned
QUALIFICATIONS:
Bachelor’s degree required, focus on Operations management/ supply chain management;
1 to 3 years or more in order management and key account management role with some logistics and/or data analysis background;
Good in written and spoken in English, Cantonese and Mandarin;
Excellent interpersonal skills and able to communicate well with all levels;
Effective analytical skills, detail-minded, sensitive to details and numbers, independent and able to work under high pressure and tight and sensitive deadline;
Proficient in MS office applications, especially in Advance level of MS Excel is a must, knowledge in Access / VBA/MARCO is an advantage
Knowledge in SAP
