Job Summary:  

We are seeking a highly organized and detail-oriented Medical and Engagement Administrator. The successful candidate will be responsible for providing administrative support, managing schedules, and ensuring the smooth execution of Medical and Engagement activities and events.

 

Key Responsibilities:

  • Administrative Support:  Provide comprehensive administrative support to the Medical and Engagement team, including customer sales order processing, manage vendor purchase order, and goods receipt in SAP system, scheduling meetings, managing calendars, and preparing reports.
  • Event Coordination:  Assist in the execution of Healthcare and Prenatal events, such as conferences, and promotional activities. Handle logistics, including venue booking, catering, and transportation arrangements.
  • Document Management:  Monitor the inventory of promotional materials, such as brochures and leaflets, and replenish them promptly. Maintain organized records and files.
  • Vendor Liaison:  Coordinate with vendors and suppliers to ensure timely delivery of services and products for events and marketing campaigns. 
  • Data Entry and Analysis:  Input and analyze data related to marketing campaigns and event performance. Provide insights and recommendations for improvement.
  • Travel Arrangements:  Organize travel and accommodation for team members attending events or meetings.

 

Qualifications:

  • High school diploma or equivalent; additional qualifications in office administration or marketing are a plus.
  • Proven experience as a secretary or administrative assistant, preferably in a marketing or event planning environment.
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
  • Ability to multitask and prioritize tasks effectively.
  • Attention to detail and problem-solving abilities.
  • Professional and friendly demeanor.
