Business Function

The Legal, Compliance & Secretariat function plays a preventive, advisory and supervisory role in the bank to guard and enhance its reputation and capital. We also work to maintain a good standing with all our regulators, customers, and business partners.We believe that at the heart of the banking business is the ability to uphold the values of trust and integrity for all our stakeholders.

 

Responsibilities

  • Provide top-level administrative support to unit head
  • Manage the schedules, appointments, meetings and travel arrangements of unit head
  • Acting as a liaison between the unit head and internal/external stakeholders, handling incoming calls and communications
  • Draft, proofread, and distribute emails, memos, and other correspondence handling on behalf of the unit head
  • Coordinate and maintain a regular schedule of staff meetings; attending the meetings to take minutes and follow-up on action items
  • Provide general administrative support to the department and support departmental meetings/events
  • Maintaining confidentiality and handling sensitive information with discretion
  • Compile and maintain various administrative and expense reports, invoices, and other financial documents
  • Handle ad-hoc assignments as per request

 

Requirements

  • Minimum 8 years? relevant experience as executive secretary or similar secretarial or administrative support role for senior executives, preferably in financial services industry
  • Exceptional time-management skills with ability to multi-task and prioritize tasks
  • Excellent communication skills and interpersonal skills for interacting with stakeholders at all levels
  • High level of professionalism, integrity, and discretion in handling sensitive information
  • Attention to detail and accuracy in handling tasks and documents
  • Good command of spoken and written English and Chinese
  • Familiarity with basic research methods and reporting techniques
  • Proficiency in MS Office, including Word, Excel and Powerpoint
  • Ability to work in a fast-paced digitalized environment
  • Team player and proactive in supporting the team with a ?can-do? attitude
