Requirements:
1. a recognised degree;
2. a minimum of 3 years' post-qualification work experience in office administration, with experience in vendor management and corporate insurance is preferred;
3. sound knowledge in office administration and operation and / or environmental friendly initiatives;
4. sound knowledge in office management automation system application and / or robotic administration;
5. excellent interpersonal, communication and presentation skills with the ability to interact with various internal and external stakeholders;
6. a follow-through, self-initiated, customer-oriented character and the ability to work independently;
7. a "can-do" mindset, and the ability to work under pressure to meet the set objectives of the organisation; and
8. excellent command of both written and spoken English and Chinese; hands-on experience in preparing manuals, schedules, tender documents and discussion papers is preferred.

Duties include :
1. to supervise front office team members, such as receptionists, office assistants, tea ladies, cleaners to ensure smooth operation of CIC offices;
2. to assist in coordinating and maintaining various functions and services of Administration Team, including but not limited to call centre service, car pool services, office supply and inventory control, etc.;
3. to implement office sustainability initiatives to promote green working environment and improve resource efficiency;
4. to monitor the performance of outsourced contractors, in the provision of administration services to all CIC's premises;
5. to support ad hoc projects when required throughout the process of planning, execution, monitoring and controlling, and to ensure that the quality and progress of the work carried out by contractors/ consultants/ service providers be in a good standard;
6. to consolidate data from various services providers, contractors, internal users for compiling monthly management reports;
7. to support the procurement process, preparation of tenders and term contracts related to administration functions and services, as well as drafting operation manuals and / or workflow;
8. to support the preparation and control of annual budget exercise for administration team, such as collection and consolidating services projections from end-users, monthly monitoring and report; etc.; and
9. to carry out any other duties as assigned from time to time by the Executive Director.
