The job holder will provide comprehensive and high-quality support for the Head of Legal for Asia Pacific. The role holder is expected to interact with senior management team members within MUFG Bank in Asia Pacific as well as MUFG Securities internationally, and act as point of and liaison between the Head of Legal for Asia Pacific and his/her reports (around 12 direct reports and around 50 total team size), and key stakeholders across the APAC Region including Management in Singapore, New York and Tokyo.

  • You will be responsible for all secretarial and administrative support to Head of Legal in Asia Pacific; liaise with key stakeholders and other executive assistants to arrange meetings an events while maintaining privilege and confidentiality
  • Organise full spectrum of travel arrangements such as flights, accommodations and meeting agenda, business travel application, expenses claims and reports for the Head of Legal for Asia Pacific, and other Senior Management as required by Head of Legal for Asia Pacific
  • Help maintain relationships with travel and hotel vendors to keep cost discipline
  • Coordinate meetings, conferences, business presentation materials prior to the meetings
  • Assist in staff engagement initiatives and events coordination when required
  • Other duties as assigned by Head of Legal.

Skills And Experience

  • At least 15 years’ experience in a similar capacity as an Executive Assistant, preferably in either an investment banking or a legal environment
  • Ability to navigate complex matters within a matrix structure
  • Must be able to read/write/speak fluent English. Cantonese or Mandarin language skills preferred.
  • Proficient with technology and systems including Microsoft Outlook, Word, Excel and Powerpoint

  • Excellent attention to details and accuracy
  • A calm approach, with the ability to perform well in a pressurised environment, juggling numerous concurrent responsibilities
