Our client, a global marketing and media agency, is seeking a Business Manager & Executive Assistant to support the C-Suite and the broader business team while managing key business operations and projects.


This hybrid role combines high-level executive and administrative support with oversight of multiple parallel project timelines. The ideal candidate will maintain a holistic view of the business, consolidate project statuses, and coordinate effectively with key stakeholders.

Responsibilities

  • Provide comprehensive secretarial and administrative support to the C-suite and the team including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Serve as a trusted partner to the CEO, anticipating needs and ensuring efficient day-to-day operations.
  • Identify opportunities to streamline processes and improve office operations.
  • Collaborate with internal and external stakeholders to oversee the execution of various projects.
  • Track and monitor project progress, providing regular updates to the C-suite and other key stakeholders.
  • Act as the central point of contact for the team to ensure efficient communication and execution of tasks.
  • Build and maintain strong relationships with internal teams and external stakeholders to facilitate effective collaboration and communication.


Requirements

  • At least 8 years of relevant experience, with a combination of Executive Assistant and operational/business management responsibilities.
  • Experience in project management or coordination is a strong advantage.
  • Outstanding organizational, multitasking, and problem-solving skills.
  • Exceptional communication and interpersonal abilities to work effectively with stakeholders at all levels.
  • High attention to detail and a proactive approach to challenges.
  • Fluency in both writing and speaking English is essential.
  • Fluency in Mandarin would be an advantage.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with project management or collaboration tools (e.g., Trello, Asana, or similar).
  • Outgoing, dynamic, and creative, with the ability to adapt to changing priorities.
  • A self-starter who thrives in a fast-paced, evolving environment.
  • Hold a valid HKID card is a must
