Understand and appropriately apply Intapp conflict search rules and business relationship protocols.
Analyse incoming new client/matter and conflict search requests to determine completeness and accuracy of supporting information, to verify proper identification of all parties involved, to confirm offices involved and to ensure requests are initiated in the proper workflow track.
Communicate promptly and appropriately with the requesting lawyer/secretary to obtain complete and accurate request information.
Determine if a conflict search is needed, and if so estimate the scope of the search. Search scope decisions for certain requests can be made by this role as approved by Conflicts Lawyers. Work closely with Conflicts Lawyers on search scope questions and make recommendations for proper handling.
Perform research in online search tools to find or verify corporate relationships.
For urgent requests, determine the business requirement, the appropriate priority level and a workable deadline to meet the needs of the requesting lawyer.
Review, process and follow up Request Revisions, Matter Reopen and sensitive requests.
Prepare and review the daily Project Conveyancing report for new conveyancing matters opened and escalate any issues which cannot be resolved to Conflicts Lawyers and/or the Head of Risk Management Services and/or the Business Intake and Conflicts Manager.
Lead to monitors workflow performance to identify bottlenecks and system performance issues. Take prompt action to resolve issues as agreed. Investigate reported workflow issues and escalate critical functionality issues to Managers and IT Service Desk, as appropriate.
Administer Intapp Intake/Conflicts matter workflow process, maintain workflow user groups, workflow notification templates, party alerts and workflow business rules as required. Respond to inquiries with regard to workflow functionality. Work closely with AML Team and provide assistance where necessary.
Contribute to test plan creation and participate in the Intapp Intake/Conflicts System release functionality UAT, integration testing and the system development.
Assist to work on matter intake workflow workaround solutions on system deficiency including testing and real time production.
Run monthly reports and provide statistics for business review.
Qualification / Person Specification
BA degree preferably LLB. An equivalent combination of education and/or experience may be considered in lieu of the degree when the experience has been directly related to the functions of the job.
Technical Skills :
Previous law firm business Intake/Conflicts experience and/or previous experience using workflow software tools required.
Knowledge of Excel, Aderant accounting, Intapp Intake/Conflicts System a plus
Experience using issue reporting and tracking software
