Job Summary:

The Executive Assistant provides comprehensive executive support to the Group COO, ensuring that they remain focused, organized, and effective in pursuing strategic initiatives. This role may also support Global Steering Committee members.

 

Essential Duties and Responsibilities:

  • Communication Management:
    • Handle and manage the Group COO’s email inbox.
    • Follow up on important emails and track action items to ensure timely responses.
    • Filter and screen communications to prioritize urgent and important messages.
    • Coordinate global company meetings and communications.

 

  • Project and Task Management:
    • Assist with the coordination and execution of projects.
    • Track progress and ensure deadlines are met.
    • Proactively follow up on outstanding requests and deliverables.
    • Collaborate with internal stakeholders on key projects and provide updates to the Group COO.

 

  • Problem Solving:
    • Anticipate needs and resolve issues proactively.
    • Handle emergencies and unexpected situations calmly and efficiently.

 

  • Relationship Management:
    • Build and maintain relationships with internal and external stakeholders.
    • Represent the executive in a professional and courteous manner.

 

  • Confidentiality and Discretion:
    • Manage sensitive information with the utmost confidentiality.
    • Act with discretion in all interactions and decisions.

 

  • Meeting Preparation and Follow Up:
    • Prepare agendas, take minutes, and track action items from meetings with timely progress updates.
    • Coordinate and set up meeting logistics.

 

  • Calendar and Schedule Management:
    • Manage the Group COO's schedule, including meetings, interviews, and travel arrangements.
    • Arrange and coordinate detailed travel itineraries, including flights, hotel reservations, visas, and other logistics across multiple time zones. React quickly to last-minute changes.
    • Work with local teams to put together daily agendas for the Group COO’s visits.

 

  • Administrative Support:
    • Provide day-to-day administrative support to help the Group COO achieve their goals.
    • Handle personal matters and provide secretarial support for the Group COO.
    • Manage office supplies, equipment, and facilities.
    • Handle expense reports and financial documentation.
    • Perform other duties as assigned by the Group COO and Global Steering Committee.

 

  • Technology and Process Improvement:
    • Continuously identify and implement new technologies and tools (including AI) to enhance the efficiency and effectiveness of the Group COO and/or the company.

 

Qualifications:

  • Educational Background:
    • Bachelor’s degree required.
    • Excellent command of English (additional languages are a plus).

 

  • Experience:
    • 5+ years of experience as an assistant reporting directly to senior management.

 

  • Skills and Competencies:
    • Proficient in Google Apps suite, Notion, Slack, and other standard business software applications.
    • Quick learner of new tools and technologies, with the ability to apply AI tools to improve efficiency and effectiveness.
    • Exceptional organizational skills and the ability to handle multiple tasks in an agile way, with minimal supervision.
    • Proactive thinker with strong attention to detail and problem-solving skills.
    • Excellent communication and interpersonal skills.
    • Discretion, trustworthiness, and emotional maturity.
    • Highly positive attitude and ability to maintain professionalism under pressure.
