Identifying venues that meet and surpass client expectations
Creating a proposed venue report, complete with a detailed comparison chart
Coordinating with hotels on contracts and arrangements
Providing clients with regular status updates, including delegate registration information
Communicating with invited speakers and VIP guests regarding travel, accommodation, and special requests
Preparing documentation for speaker engagement and related processes
Collaborating with internal editorial, design, and production teams to develop event materials (invitations, backdrops, quick-stands, and abstract books)
Working with contractors
Managing on-site event execution
Organize and oversee small-scale events and speaker circuits
Assist with team administrative tasks and maintain internal reports/databases as necessary
Requirements
University degree
Proactive and highly organized
Strong communication and negotiation skills for effective interaction with clients and suppliers
Attentive to detail
Capable of working under pressure and managing multiple tasks
Team-oriented and eager to learn and grow with the team and company
Minimum of 1 year of experience in meeting or conference management
Experience in preparing budget reports
Flexible working hours
Willingness to travel on weekends
Open to gaining new knowledge and skills actively
