Based in Hong Kong interacting with ARC Group global offices, this role will provide support to the team across China and reporting to Office manager.

Position Overview

We seek a proactive Front Office Administrative Assistant to ensure seamless daily operations for our 15-member team. This role combines client-facing responsibilities with operational coordination, requiring exceptional organizational skills and cultural sensitivity in a fast-paced financial environment.

Key Responsibilities

Front Desk Operations

  • Serve as first point of contact for visitors/clients with polished hospitality
  • Manage multi-line phone system and route inquiries appropriately
  • Handle incoming/outgoing mail/couriers and maintain reception area

Meeting Coordination

  • Schedule/maintain conference room bookings across teams
  • Prepare meeting materials/technology setups (Screen, projectors)

Procurement & Inventory

  • Manage office supplies procurement with Shanghai HQ (budget tracking, vendor management)
  • Process invoices and reconcile expenses with finance team (with Shanghai HQ)
  • Maintain inventory of stationery/kitchen supplies/pantry items[SZ1]

Administrative Support

  • Assist with travel arrangements and expense reporting
  • Support HR with onboarding logistics (workstation setup, access cards)
  • Coordinate office maintenance with building management

Cross-Office Collaboration

  • Act as primary liaison for Shanghai HQ on operational matters
  • Facilitate inter-office document transfers/notarizations
  • Assist with regional event coordination when required

Qualifications

Essential

  • 2+ years’ experience in front office/reception role (financial services preferred)
  • Professional fluency in English (written/spoken)
  • Advanced MS Office skills (Outlook calendaring, Excel tracking)
  • Impeccable grooming and client service etiquette

Preferred

  • Basic Cantonese / Mandarin communication skills
  • Knowledge of financial industry compliance standards
