Role Overview
This role is ideal for a proactive and detail-oriented professional with 3-4 years of experience in an HR operations and administrative function , preferably in an agency . The Executive Assistant & HR Administrator will be responsible for providing executive support, streamlining internal processes, and managing key HR activities to maintain a positive and efficient work environment.
Key Responsibilities
Executive Support - Provide high-level administrative support to CEO, including managing schedules, travel arrangements, and correspondence.
- Act as a liaison between executives and internal/external stakeholders, ensuring clear communication and follow-ups.
- Prepare reports, presentations, and meeting materials as needed.
- Assist in project management by tracking deliverables and deadlines.
Operations & Process Management - Oversee and improve internal operational processes to enhance efficiency in agency workflows.
- Support agency-wide initiatives, ensuring alignment with company goals and best practices.
- Implement and refine administrative procedures, including vendor management and office administration.
HR Administration - Support HR functions, including recruitment coordination, onboarding, and employee record maintenance.
- Assist in performance review processes, training programs, and employee engagement initiatives.
- Ensure compliance with HR policies and labor regulations.
- Coordinate payroll inputs and benefits administration in collaboration with finance teams.
Qualifications & Skills - 3-4 years of experience in an operational or administrative role -- preferably in a PR, communications, or creative agency.
- Strong organizational skills with the ability to multitask and prioritize effectively.
- Excellent written and verbal communication skills in English and Mandarin Chinese.
- Proficiency in Microsoft Office Suite and other productivity tools (Google Workspace, project management software).
- Familiarity with HR processes, employment regulations, and best practices.
- Discretion and professionalism in handling confidential information.
- A proactive, solutions-oriented mindset with strong attention to detail.
