Team Structure
This role would suit someone who is resilient, highly organised, proactive and enjoys working in a fast-paced environment as part of a growing and ambitious team. Responsibilities will include undertaking a wide range of projects, providing transactional support and playing a critical role in managing all routine and daily administrative tasks.
The ability to embrace a team-working approach, collaborating with fee earners, executive assistants to build effective relationships are key to the success of the role.
Main Responsibilities
Provide a full spectrum of professional secretarial and administrative support to a Partner and Associates in our Corporate team, including but not limited to:
- draft high-quality correspondence and prepare documents in house-style format with accurate Chinese and English typing
- assist in performing conflict searches and complete all new client/matter opening processes, ensuring compliance with requirements
- prepare and coordinate with monthly billing processes on a timely basis, including handling time entries and expenses/disbursements posting
- support fee earners and internal business development team in marketing activities, such as researching and obtaining client information and data, assisting in preparation of pitches and presentations as well as undertaking an event secretary role
- organise fee-earners' calendars for extensive client engagements, including scheduling and coordinating appointments, meetings and events
- manage complex travel arrangements, including liaising with travel company, booking flights and accommodations, applying for visas
- undertake any other tasks or duties as reasonably expected

Attributes/Skills Required
- Solid legal secretarial experience in supporting fee earners at senior levels – experience in managing client relationships, particularly with PRC clients, with a thorough understanding of the business needs is definitely an advantage
- Demonstrate maturity, resilience, independence, responsibility with strong organisational skills and attention to detail
- Ability to anticipate issues, think critically, and provide practical solutions to support the team
- Strong ability to manage multiple tasks, prioritize workload, and meet deadlines in a fast-paced environment
- A good team player and self-starter with flexibility to adapt to changing priorities and work effectively under pressure
- Proficiency in MS Microsoft Office Suite and other communications tools such as Wechat, VooV
- Excellent written and verbal communication skills in both English and Chinese (including Mandarin)
