What will you do:
As the Adaptive Resourement Assistant, you will play a pivotal role in the growth and development of our highly successful and growing Adaptive initiative. Working with key internal stake holders and external clients, you will support the seamless integration success of each Adaptive placement. Your primary focus will be on the attraction and onboarding of top-tier consultants to our Adaptive service.
Employed by Simmons & Simmons, and will engage with diverse teams, partners and clients across our legal services network. Reporting directly to the Adaptive Resourcing Manager you will also support the Adaptive Resourcing Advisor in sourcing and placing legal consultants.
Your duties and responsibilities will include, but are not limited to:
Direct sourcing
· Strategically track and manage all candidate interactions and interviews conducted by the firm.
· Coordinate and schedule interviews with consultants, partners, and clients, ensuring a smooth process.
· Organise monthly catch-ups with consultants, updating their records to reflect current availability and engagement.
Maintaining databases
· Oversee the Adaptive inbox, ensuring prompt and professional responses to all consultant communications and applications.
· Maintain the integrity and accuracy of all Adaptive information via the Adaptive Hub and tracking documents.
· Keep the Adaptive consultants list on Outlook and Interaction current and comprehensive.
· Handle all Workday (HR system) related tasks for the seamless onboarding of consultants.
Administration
· Format CVs into our bespoke Adaptive CV template for client presentations.
· Manage onboarding documentation, including consultancy agreements and background checks.
· Assist in the efficient processing of consultant invoices.
· Collaborate with Finance teams to manage the Adaptive payroll, ensuring accuracy and timeliness.
· Continuously review and enhance administrative processes to uphold best practices.
· Assist with the management of consultant profiles and talent pools on the Adaptive Hub.
General
· Address day-to-day queries from both internal and external clients with professionalism and efficiency.
· Generate weekly candidate status updates for the Adaptive resourcing team.
· Contribute to the planning and execution of engaging client and consultant events.
What we are looking for:
Education / qualifications / experience
· Ideally, you hold a degree or an equivalent qualification, showcasing your commitment to academic excellence.
· Fresh graduate as well as someone with administration experience would be our target.
· While experience in the professional services sector is a plus, we value potential and enthusiasm just as highly.
Knowledge and technical skills
· Excellent IT skills including Outlook, Microsoft Word and Excel.
· Ability to deal with highly confidential and sensitive HR issues.
· Willingness to use software packages that are unfamiliar.

· Strong communication skills, both in verbal and written forms, ensuring clarity and professionalism in all interactions.
· Meticulous attention to detail and exceptional organisational capabilities, maintaining high standards of accuracy.
