Job Requirements for Admin Executive:

We are looking for a highly organized and proactive Admin Executive to manage front desk operations while handling office administrative tasks. This role requires excellent communication skills, attention to detail, and the ability to multitask efficiently. As the first point of contact for visitors and staff, the Admin Executive will ensure a professional and welcoming office environment while supporting day-to-day administrative duties.


Key Responsibilities:

Front Desk & Reception Duties

  • Greeting and assist visitors, notify relevant colleagues.
  • Manage incoming calls, direct them to the appropriate personnel.
  • Handle incoming and outgoing mail, including courier services and document distribution.
  • Maintain records of all shipments for tracking and reporting purposes.


Office Administration & Support

  • Oversee office supplies, stationery, and pantry stock, ensuring timely replenishment.
  • Coordinate with vendors and service providers for office maintenance, repairs, and facility management.
  • Assist with staff expense claims
  • Coordinate company cars schedule
  • Manage meeting room bookings
  • Support general administrative tasks, including data entry, filing, and updating office databases.
  • Assist in maintaining employee leave and attendance records.
  • Provide administrative support to various departments as needed


Qualifications & Skills:

Education: Diploma or Bachelor’s degree in Business Administration, Office Management, or a related field.

Experience: Minimum 2 years of experience in administrative or executive support roles.


Skills Required:

  • Good written and verbal communication skills.
  • Strong organizational and multitasking abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to handle confidential information with discretion.
  • Detail-oriented with a problem-solving mindset.
  • Experience with scheduling tools and document management systems is a plus.
