Responsible for document retention policy execution across the bank
Drive the development, implementation and continuous improvement of document management processes and governance best practices.
Prepare budget and expense for user departments on inventory optimization
Communicate with stakeholder on related tasks
Review document inventory with stakeholders and provide suggestions on inventory optimization
Ensure daily operations are completed on schedule
Examine the response from customers
Verify document type
Identify problems and develop solutions
Perform proper security control on document handling
Deal with problems raised by user departments
Assist his/her supervisor to improve users engagement and strengthen communications on the subject matter
Comply with all applicable regulations, rules, codes, guidelines and standards set by regulators and the Bank, and carry out duties with high integrity; and
Adhere to all established risk control guidelines, procedures and measures to identify, assess, report, mitigate and monitor the risks involved in the day-to-day work
Requirements
University graduate, preferably major in business management or equivalent;
Possess experience in secretarial and administrative support will be an advantage;
Have good knowledge of policy and procedure, and corporate governance principles;
Have 5- 6 years of experience in corporate administration or other related areas from a sizable organization;
Have good project planning, problem solving, communication skills and risk awareness;
Be able to effectively manage relationships with user departments at all levels;
Be proficient in written and spoken English and Chinese.
