Job Summary
We are seeking a highly skilled and detail-oriented Finance Manager to oversee the full set of accounts for our school, manage financial operations, and assist with the data migration and transition to a new financial system. The ideal candidate will have a strong background in accounting and financial management, with experience in system transitions and implementation. This role requires a proactive, organized, and analytical professional who can ensure the accuracy and integrity of our financial records while supporting the school’s growth and operational excellence.
Key Responsibilities
Full Set of Accounts Management
- Manage the school’s full set of accounts, including accounts payable, accounts receivable, general ledger, and payroll.
- Prepare accurate and timely monthly, quarterly, and annual financial reports.
- Ensure compliance with financial regulations, accounting standards, and tax requirements.
- Oversee the preparation of budgets, forecasts, and financial statements.
- Conduct regular financial analysis to identify trends, risks, and opportunities.
School Fee Overdue Follow-Up
- Monitor and follow up with parents or guardians regarding overdue school fees.
- Develop and implement effective strategies for fee collection while maintaining positive relationships with families.
- Maintain accurate records of payment statuses and overdue accounts.
Purchase Requisition Review
- Review and verify purchase requisitions to ensure alignment with the school’s budget and financial policies.
- Collaborate with relevant departments to ensure cost-effective purchasing decisions.
- Monitor and track expenses related to purchase requisitions to avoid over-budgeting.
Data Migration and System Transition
- Lead and coordinate the migration of financial data to the new accounting system.
- Ensure the accuracy and completeness of data during the migration process.
- Collaborate with internal teams and external system vendors to ensure a smooth transition.
- Provide troubleshooting and support during the implementation of the new system.
- Develop and implement new processes and workflows to optimize the use of the new system.
Expense Policy Management
- Maintain and update the school’s expense policy to ensure it reflects current financial regulations and organizational goals.
- Regularly communicate policy updates to staff and provide clear guidance on compliance.
- Monitor staff adherence to the expense policy and address any irregularities.
- Ensure timely, accurate processing of staff expense claims and reimbursements.
Financial Compliance and Internal Controls
- Establish and maintain robust internal controls to safeguard the school’s financial assets.
- Ensure compliance with all statutory requirements, including audits and tax filings.
- Monitor and improve financial policies, procedures, and practices.
Team Collaboration and Reporting
- Work closely with the school leadership team to provide financial insights for decision-making.
- Liaise with external auditors, tax authorities, and other stakeholders.
- Train and support staff on financial systems and processes as needed.
Cash Flow and Financial Health Management
- Manage cash flow to ensure the school’s financial stability and sustainability.
- Optimize the allocation of financial resources to support the school’s operations and strategic goals.
Other Duties
- Assist in ad hoc financial projects and other tasks as assigned by school management.
Requirements
Education and Qualifications
- Bachelor’s degree in accounting, Finance, or a related field.
- Professional certification (e.g., CPA, ACCA, or equivalent) is highly preferred.
Experience
- At least 6-8 years of experience in accounting or financial management.
- Proven track record of managing a full set of accounts, including budgets, audits, and tax filings.
- Hands-on experience with data migration and transitioning to new financial systems.
- Knowledge of local financial regulations and tax laws.
Technical Skills
- Proficiency in accounting software and financial management systems.
- Well versed in Microsoft Office and highly proficient in MS Excel spreadsheet.
- Familiarity with system implementation and process improvement.
Language Skills
- Proficiency in English, Cantonese and Mandarin
