The Project Coordinator is responsible for overseeing the end-to-end management of projects for the product lifecycle, ensuring timely execution and delivery in line with client requirements. Acting as the operational backbone of each project, this role involves coordinating internal teams from the start of order management, through to timelines, escalating risks, and ensuring seamless project flow from ideation to completion.
The Project Coordinator will work closely with Sales, Account Managers, Design, Buyers, Compliance and Logistics, to ensure all client projects are delivered on time, within scope, and aligned with the client’s expectations.

Your Key Responsibilities
Order Management:
- Accurately create and manage Purchase Orders (POs) in SAP
- Once PO approval is obtained, confirm supplier acknowledgment within 24 hours.
- Support design and production approval processes
- Track supplier production schedules to ensure key milestones and delivery dates are met.
Project Management:
- Oversee accuracy and completeness of information across all assigned projects, ensuring clear project details are captured before taking the project to delivery teams.
- Review Purchase Orders (PO), Statements of Compliance (SOC), and freight costs to ensure adherence to project budgets.
- Maintain up-to-date and accurate project timelines, proactively monitoring progress and flagging potential obstacles.
- Partner with internal departments (design, buying, compliance, logistics) to ensure that all project stages meet internal and client deadlines, conducting regular review meetings to track progress and resolve any bottlenecks.
- Ensure proper documentation is recorded and maintained at the start of all projects.
- Manage the Project Management board in Monday.com, assigning projects to the appropriate delivery teams.
Risk Management:
- Develop and implement risk management strategies to proactively address potential project delays, issues, or client dissatisfaction.
- Ensure that any issues or risks affecting the project timeline or quality are escalated immediately to the correct channels (internal stakeholders, Account Manager, or external vendors) for timely resolution.
- Track and report on project risks, working with teams to mitigate potential problems before they impact the overall timeline or deliverables.
Communication & Reporting:
- Establish clear communication channels with internal teams, Account Managers, and external vendors, ensuring all stakeholders are kept updated on project progress.
- Prepare and share regular project status reports, identifying any potential risks, successes, or needed improvements.
- Provide feedback to teams and individuals on performance within Monday.com and SAP, identifying and sharing best practices for continuous improvement.
Process Improvement:
- Continuously evaluate project management processes to identify areas for improvement and ensure best practices are followed.
- Collaborate with the Account Managers and other teams to refine workflows, ensuring efficiency and alignment across departments.
- Assist in the training and onboarding of new team members on project management processes, tools (Monday.com, SAP), and procedures.
Location:
We operate an on-premises working model where employees are expected to be in the office Monday to Friday.
About You:
- Proven experience in the product manufacturing industry is essential.
- Strong organisational skills, with the ability to manage multiple tasks and projects effectively.
- Solid problem-solving skills, with the ability to foresee potential challenges and develop solutions proactively.
- Proficiency in project management tools, such as Monday.com and financial software (SAP is a plus).
- Excellent communication and interpersonal skills, with the ability to collaborate effectively across teams and functions.
- Attention to detail, with a proactive approach to ensuring projects stay on track.
- Fluency in mandarin would be preferred.
