Executive Officer (Ref. 250328016-IE)
Duties
The appointee will be required to:
(a) oversee the daily operation of the Office, including general administration, inventory control, provision of the central mailing services and university transport services;
(b) provide administrative support, such as drafting of proposals, preparation of papers and organisation of events when required;
(c) assist in taking care of quality assurance related measures, such as compilation of data, collection of comments, and conduction of statistics analysis;
(d) arrange meetings and provide secretarial and administrative support to committees, meetings and working groups, such as preparation of agenda, minutes, notes and reports as well as PowerPoint presentation;
(e) assist in preparing and arranging necessary documentation for annual exercises and other occasions when necessary;
(f) supervise and lead junior staff members;
(g) liaise and co-ordinate with different teams of the Office, other units of the University as well as external organisations when required; and
(h) perform any other duties as assigned by the Director of the Office or his delegates.
Qualifications
Applicants should:
(a) have a recognised degree plus at least five years of administrative experience, preferably at supervisory level and with some work experience being gained in sizable organisations or tertiary institutions;
(b) be able to formulate and implement plans independently and work under pressure;
(c) be pleasant, proactive and a good team player;
(d) have excellent communication and presentation skills as well as good computer literacy; and
(e) have an excellent command of both written and spoken English and Chinese, preferably with fluency in Putonghua.
Shortlisted candidates will be invited to sit for a written test.
Conditions of Service
A highly competitive remuneration package will be offered. Initial appointment will be on a fixed-term gratuity-bearing contract. Re-engagement thereafter is subject to mutual agreement.
