JOB DESCRIPTION

Sha Tin College is seeking to appoint a Communications Officer. This role contributes to maintaining the public image of the school across a range of platforms and in ensuring effective communication of school life and activity with its community. The role is varied and the post-holder is expected to communicate effectively on the following; school events (via social media), event management including publications, yearbook, press releases, marketing, web design, event organization and support for Alumni development. 
 

Job Specifications / Main Accountabilities

School Communications

  • Ensure all school communications are professional and of a high standard, adhering to ESF branding and style guidelines.
  • Enhance press relations and press coverage including the production of press releases.
  • Develop and maintain effective communications with the whole school community, including the editing and sending of emails and letters.
  • Proofread, edit and format general or ‘bulk’ external correspondence including emails and letters.
  • Monitor website content and accuracy, ensuring the website is up-to-date.
  • Consider and make recommendations on improvements to publications, communications and the website. These could be format suggestions, media used, layout, tone etc.
  • Develop and maintain school communications through websites and selected social media channels including Instagram, Facebook, LinkedIn and YouTube.
  • Explore the development of new social media platforms.
  • Maintain archives of publications and photographs.

Publications

  • Coordinate the production of publications, which involves liaising with staff, parents and PTSA on publication requirements, collating and/or writing content, sourcing graphics or pictures, editing, planning layout, appointing and liaising with printers to get the publication produced.
  • Maintain and develop school communications & publications including (but not limited to) regular newsletters, yearbooks, Annual Reports, curriculum brochures and prospectus, student catalogues, parent brochures, programmes, school certificates, and other projects that arise.
  • Proofread written communication.
  • Attend school events for the purpose of future publications to get material for communication with our community.
  • Assist in school projects as needed and other duties as required by the Vice Principal/Senior Leader in charge of Communications.

Events Organisation

  • Assist as required with the organisation and marketing of internal and external events. Tasks to include, the creation and printing of tickets, invitations and programmes to managing ticket sales, catering and collecting responses.
  • Organise fundraising events including working with PTSA in joint events.
  • Oversee the sponsorship programme.
  • Co-ordinate the official school photographs. Liaise with the photographer, prepare schedule, book venues, etc.
  • Liaise with the Communications and Development Team at ESF Centre in relation to communications initiatives, and to arrange visits, filming and photography opportunities for our school community.
  • Work collaboratively with school support staff, teaching staff, parents, students and the Senior Leadership Team.

Alumni (Work alongside HE/Career & Alumni Administrator)

  • Support the development of the Alumni Association.
  • Manage the Alumni website and database of members, keeping content and information as up-to-date and complete as possible.
  • Promote the STC Alumni Association. Coordinate and drive the recruitment of new members to increase membership.
  • Organise and promote events for the Alumni Association.
  • Create and develop publications and communications for the Alumni e.g. websites, annual brochure, regular newsletters and other social media options.
  • Work with the HE/Careers Team to identify alumni and opportunities for publicity.
  • Work with ESF Alumni Development and SLT to increase Alumni visibility and engagement.

General

  • Undertake administration and data entry as required, particularly in association with events and associated mailings.

Performs other duties and assumes responsibility as delegated.

 

Core Professional / Technical Competencies required

  • Excellent hands-on experience producing high-quality publications.
  • Bilingual in Chinese and English, fluency in written and spoken English is essential.
  • Accurate data entry and administrative support.
  • Strong collaboration and organizational skills in working effectively with internal and external parties.
  • Strong interpersonal skills.
  • Attention to details.
  • Able to multitask and manage one’s time effectively.
  • Work independently with minimal supervision and competent to work under pressure.
  • Interested in working with students.
  • Good time management skills.
  • Proactive working attitude, result-orientated.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Publisher, Google Apps), Graphic and website design software, especially the use of WordPress.
  • Graphic Design skill set.
  • Proficiency in Adobe Suite e.g. Photoshop, Illustrator InDesign, as well as Office 365 and experience in video editing.

Core Soft / Transferable Competencies required

  • Effective and confident communication with teachers, parents and students.
  • High initiative, a positive and engaging personality.

Education

  • Degree in communications, public relations or marketing is desirable.

Experience

 

3 years of solid PR or marketing experience in:

  • PR/fundraising events
  • Press relations
  • Marketing tools and website content management systems
  • Publications production and archival management 
  • Membership programme

Development / Training to support role competencies

Development activities

  • To be negotiated as part of the performance management process.
