The Job

• Provide secretarial and administrative support to Finance Controllers and the departments, including organizing business schedules, maintaining filing system, logistics
• Prepare Budget meetings’ paper and work schedule; work closely with all related parties on paper distribution. Arrange meetings with senior management to go through the reports to BoM/F&GPC
• Function as a departmental co-ordinator, arrange activities for whole division (e.g. Finance Cultural Transformation, skill trainings, Annual Dinner etc.)
  • Work closely with several departments on division-wide matters, including:
  • HR – PDP and PMS control summary, recruitments, personal files management;
  • Property – pandemic arrangement, Finance division renovation project
  • IT – annual software renewal, new system launched for all staffs
• Review all invoices, claims, requests and other approval items before submit to budget holder, project code creation for CAPAX projects

 

About You

• University degree
• Minimum of 6-8 years’ solid experience in secretarial /administration duties in sizable organisation
• High integrity in maintaining strict confidentiality when dealing with sensitive information and matters
• Strong interpersonal skills, self-motivation and being a good team player
• Proficiency in common operations of PCs/mobile devices, including use of Microsoft Office applications such as Word, Excel, PowerPoint and Access Database and Chinese word processing
• Excellent communication skills in English and preferably Cantonese and Putonghua
