Basic Function

Provides company secretarial, administrative support and contract management support to the APAC Legal team and coordinates all activities of the Legal Department in the APAC region.

Roles & Responsibilities

  • Assist with regular and ad hoc legal and regulatory filings of all LYB entities (ex APS) and manage external counsel spendings and billings
  • Organize and manage administrative and billing matters for APAC Legal
  • Assist in the preparation and execution of legal documents (e.g., board resolutions, powers of attorney) for corporate matters
  • Provide legal and secretarial support to all lawyers in the APAC region
  • Maintain and manage contract templates, procurement contract platform and assist responsible lawyers in extracting data for the purpose of analyzing contract trends, clients’ needs etc.
  • Maintain and manage all APAC corporate records, leases, intercompany agreements, JV documents, and other corporate-related records. Ensure timely execution and updates to various systems (e.g., hCue, JV TeamShare, Asia IC Agreement database, corporate data sheets) and stakeholders
  • Provide corporate information to internal and external clients
  • Prepare engagement letters for external counsel or service providers, manage the approval process, and handle vendor account openings

Min. Qualifications

  • Bachelor degree with diploma in company secretary, legal studies or relevant discipline preferred
  • Legal secretary or company secretary experience
  • Proficiency in both written and spoken English and Chinese
  • Strong attention to detail and accuracy
  • Excellent communication skills
  • Ability to work independently and collaboratively as part of a team
  • Willingness to learn, meticulous nature, and ability to work under pressure and meet deadlines

Preferred Qualifications

  • 3 years of legal secretary or company secretary experience
  • Immediate availability is preferred
