WHY THIS ROLE IS IMPORTANT TO US
We are seeking a motivated and organized Office & Employee Experience Manager to oversee the smooth operation of our Hong Kong office and cultivate a vibrant, engaging workplace. This role is critical in ensuring our employees have the resources and support they need to thrive, while also managing essential office functions and contributing to our company culture.
WHAT YOU WILL BE RESPONSIBLE FOR:
Office Management & Facilities:
Operational Excellence:
Serve as the primary point of contact for the Hong Kong office, greeting visitors and managing reception duties.
Maintain a clean, organized, and efficient office environment, including kitchen, conference rooms, and common areas.
Manage office capacity and workspace (hotdesking).
Oversee office equipment and facilities, ensuring functionality and addressing maintenance needs.
Manage incoming and outgoing mail and courier services (local and international).
Create and implement office policies and procedures.
Manage office budget, vendor relationships, and invoice reconciliation.
Liaise with building management for maintenance, security, and other related matters including lease renewals or office moves.
Coordinate with payroll to ensure compliance with company obligations.
Procurement & Logistics:
Order, receive, and maintain office supplies, snacks, and beverages.
Manage and issue security passes and locker assignments.
Coordinate IT equipment allocation with the IT department.
Manage travel bookings for contractors and external parties (Egencia).
Create work orders and liaise with property management on repairs and issues.
Safety & Compliance:
Act as First Aider and Lead for emergency evacuation and fire warden responsibilities.
Participate in the joint health and safety committee (as needed).
Employee Experience & Engagement:
Event Planning & Execution:
Plan and execute a variety of employee events, including happy hours, holiday parties, in-office, offsite, and virtual activities.
Manage weekly lunch catering and ad-hoc catering for training and events.
Manage internal meeting room bookings, setup, and AV support.
Assist with internal events across APAC and external client events.
Coordinate with vendors/suppliers to provide virtual or onsite training.
Assist sales & marketing teams on external client events across the country
Employee Support & Onboarding:
Facilitate employee connectivity and provide necessary resources.
Assist with onboarding new hires, including office induction and new hire kit distribution.
Support offboarding processes for exiting staff.
Manage employee recognition programs, including anniversary, jubilee, farewell, and birthday celebrations.
Collaborate with other location Office Managers on wellness, employee engagement activities and regional/local initiatives.
Manage internal Sharepoint sites content to ensure its up to date and relevant
People & Culture Support:
Support People & Culture projects related to office spaces and hybrid work.
Provide ad-hoc HR support in collaboration with the People Team e.g. coordinating virtual or onsite training for staff
Support office renovation projects.

Skilled in office management and event planning.
Advanced organizational, communication, and interpersonal skills.
Ability to manage budgets and vendor relationships.
Proficient in addressing issues while efficiently overseeing multiple assignments.
Proficiency in relevant software and tools.
Experience with travel booking systems.
First Aid certified.
Ability to manage tasks effectively and work as part of a team.
Experience in supporting People & Culture initiatives.
