The Job
You will:
Plan, organize and manage committee meetings/governance boards within the IT division, coordinating with committee/board members to ensure smooth running, agenda preparation, and communication of meeting dates and venues
Draft and update meeting agendas, minutes, action logs, and progress reports, ensuring timely communication with workstream responsible parties and tracking milestones in a timely manner
Draft IT-related committee and management papers with high-quality written English, adhering to the Club’s guidelines, along with tailoring the writing style to suit different audiences, while effectively managing multiple papers simultaneously
Protect the Club’s interest, handle confidential information, demonstrate integrity, comply with policies, understand governance framework, and contribute to a diverse culture
Demonstrate professionalism, understanding and adherence to guidelines, supporting cross-team efforts and promoting collaborative behaviours
About You
You should have:
A Bachelor's degree in Arts (major in English), Business Administration, Communication, Journalism, Law or Information Technology or related disciplines
Minimum 8 years of related working experience in a company secretarial role within a sizeable organization
Proven track record in handling committee meetings/governance boards with agenda and minutes drafting experience
Excellent English writing, listening and speaking skills
High level of integrity, work ethics and good moral values
Ability to work independently and handle confidential information with professionalism
A good team player with good management skills to meet aggressive timeline
Ability to draft reports in a concise and informative manner with necessary detail and accuracy to suit the target audience
Familiarity with IT terminology and concepts is preferred
Project management experience is preferred
Terms of employment
