The IT Admin Officer is responsible for sourcing, purchasing, and managing IT hardware, software, and services to meet organizational needs. This role ensures cost-effective procurement while maintaining quality, compliance, and vendor relationships.

The challenge is to:
Procurement & Sourcing
- Identify IT procurement needs in collaboration with IT and other departments.
- Research, evaluate, and select vendors for IT hardware, software, and services.
- Negotiate contracts, pricing, and terms to achieve cost savings and favorable conditions.
Vendor Management
- Build and maintain relationships with IT suppliers, vendors, and service providers.
- Monitor vendor performance (delivery times, quality, compliance with SLAs).
- Resolve disputes or issues with suppliers (e.g., delays, defective products).
Purchase Processing
- Prepare and process purchase orders (POs) and requisitions for IT assets.
- Ensure approvals align with budget and organizational policies.
- Track orders, confirm deliveries, and manage invoices/payments.
Inventory, contract & Asset Management
- Maintain an up-to-date inventory of IT assets (hardware, software licenses).
- Coordinate with IT teams to track procurement lifecycle (from request to disposal).
- Ensure proper documentation for audits and compliance.
Budget & Cost Control
- Assist in IT budget planning and expenditure tracking.
- Identify cost-saving opportunities (bulk discounts, long-term contracts).
- Report on procurement metrics (spend analysis, savings achieved).
Compliance & Risk Management
- Ensure procurement follows company policies and regulatory requirements.
- Verify software licensing compliance to avoid legal risks.
- Assess risks related to suppliers (financial stability, data security).
Do you have experience in IT Admin and related field?
- 2+ years in IT procurement, vendor management, or purchasing.
- Familiarity with IT products (hardware, software, cloud services).
- Proficiency in procurement tools and Excel.
- Strong negotiation and analytical skills.
- Attention to detail and organizational abilities.
- Communication skills for cross-department coordination.
