Job requirement:

  • Have bachelor's degree from a Hong Kong university, or equivalent;
  • Have at least two years' post-degree working experience including at least one year working experience at supervisory level;
  • Have good knowledge of computer programme applications including Microsoft Word, Microsoft Excel, and preferably Microsoft Access and Microsoft PowerPoint, etc;
  • Have a good command of spoken Cantonese and English (fluency in Putonghua would be an advantage);
  • Have good command of written Chinese and English;
  • Self-motivated and be able to work independently;
  • Have good customer service, communication and interpersonal skills;
  • Have the flexibility to work outside office hour and during weekends; and
  • Be able to work under pressure to meet deadlines.

 

Job duties:

  • Work outdoor for the outreach inspections;
  • conduct checking and input vaccination records and vaccination return in the computer systems whereas required;
  • cooperate with nurse grade staff to conduct inspections according to the inspection guidelines/checklists such as vaccination records, storage of vaccine, expiry date of vaccine, lot number of vaccine etc. during the outreach inspections at designated vaccination places and draft the reports if any irregularities/discrepancies are found;
  • follow up the corrective actions required by the responsible doctor/medical organisation raised out in advisory letter or warning letter;
  • make appointments with schools/ institutes/ organisations participating in vaccination programmes for inspections;
  • arrange transportation, prepare and pack the equipment and stationery required for conducting inspection on outreach activities;
  • conduct phone communication to the health care providers to remind them on preparation of the outreach vaccination activities as well as their contingency methods;
  • prepare inspection reports;
  • prepare summary of inspection evaluation of different vaccination programme;
  • assist in the administrative work related to vaccine order and return, coordinate vaccine orders, clinical waste management and hire of transport, etc;
  • liaise with Medical Service Providers about the latest information of the vaccination programmes;
  • assist in gathering necessary information or relevant documents of the primary schools/ institutes/ organisations concerned in case of any special/ ad-hoc incidents as instructed by the Government Representative;
  • prepare email for issuance of information on request by Government representatives;
  • check and consolidate the data or report gathered from different vaccination premises, including but not limited to drawing out data from various sources, data transition and output to Government representatives designated parties;
  • handle general enquiry about the COVID-19 Vaccination Programme;
  • maintain a register for all incoming and outgoing documents on a daily. basis and provide filing support services to the Government Representatives, including opening new subject and case files, filing of documents for officers' action, retrieving files as instructed, recording the movement of files, etc.;
  • supervise and monitor the progress of work of CPO;
  • review the feedback from institutes and parents and recommend improvement measures for senior management’s consideration;
  • prepare meeting materials and provide secretarial support; and
  • perform any other duties assigned by senior officers.
