Corporate Administrator

Our client is a global leading law firm. They are seeking an experienced corporate administrator to join their growing team. The ideal candidate should have the ability to be collaborative and self-driven.  

Primary responsibilities include:

Client Work and Client Service

  • Prepare, review, and assist with drafting documentation related to the administration of the corporate services group’s portfolio of companies, partnerships, and trusts
  • Prepare, file and /or obtain authorizations, consents, approvals, licenses, validations, or exemptions required by Law from government authorities, agencies, private entities (e.g. Cayman Islands Stock Exchange), or official bodies within relevant jurisdictions with respect to their corporate services group's portfolio of companies, partnerships and trusts
  • Accurately and efficiently complete assignments assigned by Senior Corporate Administrators, adhering to company policies and procedures
  • Build effective client relationships and respond promptly and professionally to client requests
  • Foster strong working relationships within the corporate services group to ensure smooth operations
  • Maintain physical and electronic minute books, ensuring timely and accurate filing of relevant documentations as per company procedures.
  • Keep Company databases up-to-date with accurate information in relation to the corporate service portfolio of companies, partnerships, and trusts.
  • Ensure all annual administration tasks in regards to companies’ corporate service group’s portfolio are completed promptly and in compliance with company policies and procedures

Billing and Receivables

Collaborate with Senior Corporate Administrators and Accounts Group personnel to ensure timely invoicing and dissemination to clients

  • Support Senior Corporate Administrators and Accounts Group personnel in monitoring and reducing the corporate services group’s receivables
  • Training and Development
  • Assist with training Assistant Corporate Administrators as requested by Senior Corporate Administrators
  • Exhibit a strong commitment to skill enhancement, continuously striving for improved performance
  • Seek performance feedback from colleagues and take actionable steps to address development areas
  • Actively pursue training and development opportunities to expand professional capabilities
  • Collaborate with Senior Corporate Administrators to create and implement a continuous learning plan within their corporate services group

Risk Management

  • Adhere to legal, regulatory, and internal risk management requirements, ensuring compliance with Company policies and procedures
  • Ensure the corporate services group's portfolio of companies, partnerships, and trusts, maintaining compliance with jurisdictional laws, regulations, and client service standards
  • Report any issues to the Senior Corporate Administrators within the corporate services group

Business Management & Business Development

  • Ensure timely delivery of assignments, meeting the full satisfaction of clients and lawyers
  • Handle sensitive information with appropriate care and discretion
  • Maintain high productivity by effectively managing time and controlling costs
  • Exhibit broad thinking by considering a wide range of internal and external factors when resolving problems
  • Demonstrate knowledge and communicate effectively about the firm’s services and their value 
  • Build and nurture personal networks, both within and outside the firm, to support its growth and success

Qualification and experience

  • Bachelors’ degree in any discipline
  • Candidates with offshore law firm experience dealing with offshore jurisdiction such as BVI and Cayman are preferred but not essential. Candidates with experience in financial services are also highly encouraged to apply.
  • Fluent in English and Chinese (verbal and written)
  • Excellent communication skills (liaison with different department and staff of all levels)
  • Team player
