The Department

The Equestrian Affairs Department aims to fulfil the Club’s vision to promote riding as a sport and raise participation at all levels, from beginner through to elite. It oversees the management of four equestrian centres, including the Member’s facility at the Beas River Country Club and three public riding schools at Tuen Mun, Pokfulam and Lei Yue Mun. 

The Job

You will:

Assist in the day-to-day operation of the General Office and Reception Counter, including:

  • Administration Duties:
    • Update system to manage lesson bookings, attendance records and payment transactions 
    • Prepare agenda and minutes for the meetings with administrative and coaching team 
    • Coordinate with coaches and supervisors to ensure the smooth of business flow  
    • Clerical support to horse shows, school events and equestrian activities
    • Procure materials and supplies to the offices and stables
    • Provide feedbacks and suggestions to management in daily operations
  • Customer Services Duties:
    • Coordinate with customers and stakeholders for bookings of riding lesson and equestrian activities
    • Maintain an accurate update record of all bookings and horse records 
    • Collect payment and keep accurate transaction records     
    • Handle enquires/feedbacks/complaints and manage waiting lists
    • Liaise with external stakeholders to promote the equestrian activities
    • Provide riding equipment and souvenirs for sales or rental
    • Proactively approach to communicate with customers to launch the new programmes and policies
  • Assist Senior Administration Officer to carry out operations duties, including:
    • Provide fellow colleagues with technical guidance and assistance
    • Address teammates’ concerns and resolve conflicts in workplace
    • Reinforce customer service standards and prepare work schedules
    • Provide solutions to deal with customers’ feedback when appropriate or escalating to Senior Administration Officer
    • Support Senior Administration Officer in decision-making process with solid justification

About You

You should have:

  • Educational qualification of High School Diploma or above
  • 3 years of experience in administrative support or with Administration/Management/Finance studies qualification
  • Prior experience in customer service
  • Prior working experience in the equine industry will be an advantage
  • Intermediate level in using MS Office applications 
  • Good interpersonal, organizational and time management skills
  • Good communication skills in spoken English, Cantonese and Mandarin
  • Ability to work under stress and able to meet monthly deadlines
  • Capability of multi-tasking and can work with minimal supervision
