The Job
- Perform secretarial and team administration functions
- Manage the calendars of the Executive Managers, arrange and coordinate meetings and participants, assist with internal systems (e.g. leave booking, expense claims), etc.
- Provide administration support including for various projects including status tracking, meeting arrangement, material collection, action logging, taking meeting minutes, etc.
- Support the preparation and production of divisional planning and project documentation
- Maintain proper filing system for divisional planning and project documents
- Provide logistic / administrative supports to external consultants / vendors – as and when needed
- Perform other ad hoc tasks as assigned
About You
- A university degree with minimum 5 years of relevant working experience preferably from large corporations or MNCs
- Demonstrated organisational and multi-tasking ability working in a face-paced environment
- Strong interpersonal and communication skills in dealing with colleagues at different levels both within and outside of the division
- Proven project administration / support experience on sizable projects – highly preferred
- Understanding of digital design and related technologies would be a plus
- Fluency in both written and spoken English and Chinese
- Proficiency in Microsoft Office applications including Excel, PowerPoint, Word, Teams
- Knowledge on advanced Zoom / Teams operations
