Job Responsibilities

1.Sourcing & Purchasing

  • Request and manage comparative quotations and availability on equipment from suppliers and submit to stakeholders.
  • Negotiate with suppliers to achieve demonstrated cost savings across the business.
  • Deal with potential equipment delays and implement contingency strategies (as applicable) with project coordinator/technicians.
  • Place and manage ordering and delivery of capital/case equipment from suppliers, ensuring timely delivery and adherence to agreed schedules.
  • Verify equipment availability and communicate status updates to ensure alignment and readiness for installation schedules.
  • Answer phone queries from various sources (eg. Contractors, Client personnel, suppliers) and resolve issues within designated timeframes.

2. Relationship Building

  • Consult and communicate on effective procurement strategies to a number of key stakeholders.
  • Be the key channel at City for installation contractor and Project manager, design team on queries at all times.
  • Be the primary point of contact at for installation contractors, Project Managers, and the design team, addressing queries and ensuring seamless communication and collaboration.

3.Project Management

  • Manage database to track the status of all projects and provide timely reports to management & manage project deadline.
  • Draft and finalize contracts or goods agreements with service providers or suppliers for completed capital projects.
  • Notify relevant parties of project updates to ensure transparency and effective collaboration.
  • Participate in planning meetings as needed and deliver progress updates to stakeholders, ensuring project objectives are met.

Business Development /Procurement Operations

  • Assist the manager in establishing the procure-to-pay processes for new business repair and maintenance (R&M) and project procurement operations.

Team Leadership

  • Provide guidance and support to team members.
  • Assign tasks and ensure they are completed efficiently and on time.
  • Monitor team activities to ensure compliance with company policies.

Requirements

  • Tertiary education or above.
  • Possess a Diploma in Contract Management is preferred.
  • Minimum of 3 years’ experience in related work experience.
  • Related working experience in similar business/industry is preferred.
  • Proven working experience of parts ordering system.
  • Good command of written and spoken English & Chinese (Cantonese).
  • Proficient in Microsoft Office , specifically Word and Excel.
  • Knowledge of refrigeration, HVAC and/or electrical systems is preferred.
  • Possess project management skills along with strong abilities in negotiation, communication, stakeholder and customer management, analytical thinking, decision-making, risk management, and report writing.
  • Foster respect, collaboration, and teamwork.
  • Committed to developing high-performing team and supporting team member success.
  • Adaptable to fast-paced environments, demonstrating integrity, confidentiality.
  • Possess a proactive & can-do attitude.
